Job Description Job Description DoD Contract Administrative
Support Pay: DOE The DoD Contract Administrative Support position
provides administrative support to the Contracts and Export
Department. This role supports RFQs, bids, RMAs, and sales order
processing while ensuring accuracy, compliance, and audit readiness
in a government contracting environment. Core Responsibilities
Contract, Order & RFQ Administration Retrieve and process
supporting documentation for RFQs, new contract orders, and
amendments from Prime Contractor and Government customer portals.
Ensure all documentation is complete, accurate, and properly
organized. Create, maintain, and archive digital and physical files
for RFQs, RFPs, and contract orders. Accurately enter and maintain
data in Excel spreadsheets and the M1 ERP system. Scan, archive,
and file completed Sales Orders and RFQs to ensure audit readiness.
Distribute team notifications upon file completion. Submit new
solicitations to Configuration Control for Technical Drawing
Package (TDP) verification. Participate in weekly Team Bid Meetings
and provide status updates as required. Execute order entry for RMA
Sales Orders in the ERP system. Monitor and track the status of
returned units and coordinate updates. Work daily with the
Contracts and Export Compliance Manager to resolve open actions.
Assist the Contracts Manager and department staff with
administrative tasks, confidential documentation, basic vetting,
and contract reports. Complete special projects and miscellaneous
assignments as required. Required Skills & Qualifications
Communication Skills: Excellent verbal and written communication
skills with the ability to interact effectively with staff,
management, and other departments. Organizational Skills: Strong
organizational and multitasking abilities with attention to detail.
Technical Skills: Proficiency in Microsoft Office Suite (Word,
Excel, PowerPoint) and standard office equipment. Recordkeeping:
Ability to maintain accurate records, manage schedules, and track
documentation to resolve discrepancies. Mandatory Compliance
Requirements (Must Have) Familiarity with FAR/DFARS clauses.
Knowledge of Export/Import compliance regulations, including ITAR
and EAR.
