Summary Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters. The Executive Assistant must possess the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, while maintaining a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, at times working under pressure, to accomplish a wide variety of tasks and confidential matters while maintaining discretion and confidentiality. Duties and Responsibilities Administrative Duties -- Active calendar management, including but not limited to, meetings, appointments, events, social engagements, galas, conferences, and tradeshows -- Compose and prepare internal and external correspondence -- Arrange domestic and international travel arrangements, obtain travel documents and create detailed itineraries -- Research, prioritize and follow-up on all initiatives determining the appropriate course of action, referral, or response -- Create and submit monthly Expense Reports -- Ensure daily workflow through proper calendar adhesion -- Prepare and edit correspondence, reports, and presentations -- Manage a variety of ad hoc projects to completion -- Act as Gatekeeper; Coordinate interoffice visits and calendars -- Maintain a stocked kitchen, supply closet and organized office Personal Assistant Support -- Social calendar and planning management -- Booking reservations while tracking preferences for specific locations -- Errands, orders and tracking deliveries -- Managing and coordinating gift purchases -- Knowledge of family calendar and activities -- Calendar arrangements with personal vendors Job Requirements -- Bachelor's degree required -- Proven experience with 3- 5+ years of experience supporting C-Level Executives -- Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint), Mac/Apple, Concur Expectations for Success -- Strong organizational skills and meticulous attention to detail -- Perform and prioritize multiple tasks seamlessly and effectively -- Strong interpersonal skills with the ability to build relationships -- High level verbal and written communications skills -- Exemplary planning and time management skills -- Demonstrate a proactive approach to problem-solving with strong decision-making capability -- Proven ability to function effectively in an independent environment, when necessary -- Understanding confidentiality, discretion, and adaptability in various competing demands -- Demonstrate the ability to achieve high-performance goals while meeting deadlines in a fast-paced environment -- Forward-thinker actively proposing solutions Competencies for Success -- Build Collaborative Relationships: Work in a team-oriented, cross-departmental environment; build and maintain effective partnerships with multiple departments -- Detailed and Process-oriented: To complete forecasting, administrative duties and reporting -- Adaptability: Manage competing demands, accept constructive feedback while being adaptable to changing priorities -- Communication: Clear and concise communication of policy and pricing elements; Comfortable speaking and taking direction and feedback from senior leaders -- Confidentiality: Ability to handle sensitive and confidential information appropriately Work Environment and Physical Demands The work environment and physical demands are representative of those employee encounters while performing the essential functions of this job. The noise level in the work environment is usually quiet to moderate in an office setting. The employee is frequently required to be in a stationary position and regularly use the computer keyboard and mouse and will view the computer monitor frequently. The employee is occasionally required to stand, walk, and reach with hands. The employee is occasionally required to climb or balance, stoop, kneel, or crouch. The employee may occasionally lift and/or move up to 10 pounds. Reasonable accommodations may be made to enable individuals to perform the essential job functions.
